Terms & conditions

Last updated: 26 October 2026

1. General

These terms govern your use of the Solve ICT website (solveict.co.za) and our services. By using this website, creating an account or paying for a service, you agree to these terms.

2. Services

Solve ICT (Pty) Ltd (registration number 2025/048979/07) provides Managed 365 (managed Microsoft 365 with AI-assisted IT support), website design, Website Care, domain registration and transfer, and logo and stationery design. Prices are shown on the website in South African Rand (ZAR). Solve ICT is not registered for VAT, so no VAT is charged.

3. Managed 365

3.1 What's included

Managed 365 is charged per user per month and includes a Microsoft 365 Business Standard licence, access to the AI assistant, and remote administration of your Microsoft 365 accounts (password and MFA help, new and departing users, mailbox and permission changes). Windows and Microsoft 365 are kept on Microsoft's automatic updates.

3.2 Onboarding and migration

A once-off onboarding fee covers setting up your Microsoft 365 tenant and domain. Migrating existing email, contacts and calendars from another provider is not included in onboarding and, if required, is charged at R250 per user.

3.3 Support service levels

Support is remote-only and AI-first. The AI assistant is available 24/7 and gives guidance only; it never asks for passwords, one-time PINs or banking details. Technician sessions run Mon–Fri 18:00–20:00 and Sat 09:00–12:00 (SAST), excluding public holidays. Tickets logged before 17:00 are normally attended to the same evening, otherwise in the next session. No business-hours, on-site or emergency response is promised; urgent daytime or on-site work may be quoted separately on a case-by-case basis.

3.4 Licences

Microsoft licences are subject to Microsoft's own terms. Adding users increases your monthly fee from the next billing date.

4. Websites

  • Website builds require a 50% deposit to secure a build slot; the balance is due on go-live, before the site is published.
  • You supply your logo, stationery, content and images. If you don't have a logo, the Logo & Stationery pack can be added.
  • Each package includes the number of revision rounds stated on the website. Additional changes are quoted separately.
  • The Website Care plan is required with every website and covers hosting, SSL, backups, small edits and a monthly SEO report.
  • Deposits are non-refundable once design work has started.

5. Domains

New .co.za domains are registered in your name. Existing domains can be transferred at no charge; you must give us access to unlock the domain with your current registrar.

6. Payment and cancellation

Payments are processed by Paystack (card, Apple Pay, Instant EFT). We do not store card details; Paystack keeps them securely. Monthly services are charged automatically to the card used at sign-up each month until cancelled. An invoice is emailed for every successful payment and is available on your account page. You may cancel Managed 365 or Website Care with 30 days' written notice; services remain active until the end of the notice period. If a monthly payment fails, we will let you know; if it is still unpaid 42 days after the last successful payment, services are suspended until payment is received.

Hardware orders. Hardware from the shop is paid in full before it is ordered from our distributor and usually ships within 2–4 business days by The Courier Guy (R79 per order). Risk passes to you on delivery. You may cancel an online hardware order within 7 days of delivery (ECTA cooling-off), returning the item unused in its original packaging at your cost. Faulty items are covered by the manufacturer's warranty, which we handle with the distributor for you.

7. AI assistant

The AI assistant provides general IT guidance and may occasionally be wrong. Follow its suggestions at your own discretion and request a technician if you are unsure. Conversations may be stored with your ticket to help us resolve your issue.

8. Your responsibilities

You are responsible for keeping your own sign-in details secure, for the content you publish, and for making sure you have the rights to logos, images and text you supply.

9. Limitation of liability

To the extent allowed by law, Solve ICT's total liability for any claim is limited to the fees you paid for the affected service in the three months before the claim. We are not liable for indirect losses, or for outages of Microsoft, Paystack, hosting providers or other third-party services.

10. Privacy

We process your personal information in line with the Protection of Personal Information Act (POPIA), only to provide and bill for our services and to support you. We do not sell or rent your information. Contact us to access or correct the information we hold about you. See our privacy policy.

11. Governing law

These terms are governed by the laws of the Republic of South Africa. Disputes are subject to the jurisdiction of the courts of Cape Town.

12. Changes to these terms

We may update these terms from time to time. Changes are posted on this page with a new date. Continued use of our services means you accept the updated terms.
